This policy explains what personal data Ulas Distribution Ltd collects through this website, why we collect it, how long we keep it and what rights you have over it. It is written to meet our obligations under the UK GDPR and the Data Protection Act 2018.

What we collect
We only collect what you choose to send us. There is no account system on this site, no tracking pixels and no advertising network.
Information you give us
When you submit the enquiry form, we receive:
- Your name, so we can address a reply to you
- Your company, to understand who we would be trading with
- Your email address, to reply to your enquiry
- Your phone number, only if you choose to provide one
- Your message, the details of the stock or enquiry you describe
Information collected automatically
Our hosting provider keeps standard server logs, which may include IP address, browser type and the pages requested. These are used to keep the site running and secure. They are not used to build a profile of you.
Why we use it, and our lawful basis
We use your details for one purpose: to respond to your enquiry and, if it leads somewhere, to carry on that business conversation.
- Legitimate interests: replying to a business enquiry you started, and keeping a record of trade discussions. You can object to this at any time.
- Contract: where an enquiry becomes an order, to perform the agreement between us.
- Legal obligation: where we must keep transaction records for accounting and tax purposes.
We do not use your details for marketing unless you ask us to, and we never sell or rent personal data to anyone.
Who we share it with
We do not share your information except where it is necessary to run the business:
- Our hosting and form provider, which processes and delivers form submissions to us
- Our fulfilment partner, only the delivery details needed to dispatch an order you have placed
- Our email provider, which stores the correspondence
- Our accountants and, where required, HMRC, where an enquiry becomes a transaction
- Law enforcement or regulators, only where we are legally required to
Some of these providers may process data outside the UK. Where that happens, we rely on the safeguards required by UK data protection law, such as adequacy regulations or standard contractual clauses.
How long we keep it
- Enquiries that go nowhere: deleted within 24 months of our last contact
- Enquiries that become trading relationships: kept for the life of the relationship, then in line with our accounting obligations
- Transaction and invoice records: kept for six years after the end of the relevant accounting period, as UK tax law requires
Cookies
This website sets no cookies. We do not run analytics, advertising or social media tracking, which is why you are not asked to accept a cookie banner. The site loads a web font from Google Fonts. If that changes, or if we add analytics in future, we will update this policy and add consent controls where required.
Your rights
Under UK data protection law you have the right to:
- Access: ask for a copy of the personal data we hold about you
- Rectification: have inaccurate details corrected
- Erasure: ask us to delete your data, where we have no overriding reason to keep it
- Restriction: ask us to limit how we use it
- Objection: object to processing based on legitimate interests
- Portability: receive your data in a portable format
Email sales@udistro.co.uk to exercise any of these. We will respond within one month. There is no charge unless a request is clearly unfounded or excessive.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put it right first.
Changes to this policy
We will update this page if our practices change, for example if we add analytics, a customer portal or an online ordering system. The date at the top always reflects the current version.
